How do workspaces and team seats work in OKO?

A workspace holds your events, and the people you invite to it get only the permissions you choose. Core has a personal workspace and one seat, Pro adds one shared workspace with 5 seats, and Max has no limit on seats or shared workspaces.

Workspaces

Every event lives in a workspace. Access is granted to the workspace as a whole, and each member sees its events within the permissions you gave them.

Your personal workspace is for you alone. To work with a team, create a shared workspace with “Create workspace” on the “Team” screen. Pro includes one shared workspace, and Max has no limit.

You can move an event to another workspace with “Move to…” in the events list.

A page published in a shared workspace is paid from the wallet of the workspace owner.

Seats

A seat is a person, and the owner uses one. Core has 1 seat, Pro has 5 and Max has no limit. The “Team” screen shows how many seats are taken.

When all seats are taken, an invitation cannot be accepted until a seat is free or you move to a higher plan. The people who watch your events never use a seat.

Invite a teammate

  1. Open “Team” and choose the shared workspace.
  2. Pick an “Invite role”: “Viewer”, “Moderator” or “Admin”. Use “Fine-tune permissions” to choose the exact permissions.
  3. Optionally enter an email address. OKO tries to email the invitation. If the email cannot be sent, the list shows it, and you can pass the link on yourself.
  4. Press “Generate invite link” and send the link. The link works once, and the permissions you chose are fixed in it.
  5. The person signs in or creates an OKO account and presses “Accept invite”.

What a teammate can do

Permissions are set one by one: “Create events”, “Edit event setup”, “Delete events”, “Control live blocks”, “Moderate chat”, “Start/end sessions”, “View analytics”, “Download reports” and “Send notifications”.

“Admin” has every permission except deleting events. “Moderator” can control live blocks, moderate the chat and view analytics. “Viewer” can view analytics only.

A permission does not unlock a plan feature. “Start/end sessions” does nothing on a plan without sessions, and “Control live blocks” needs the control room of the page.

Only the owner of a shared workspace manages its members and invitations. You change a member's permissions in the team list, and “Remove” takes a member out.

Leaving a workspace

A member can leave with “Leave workspace”. The events that person created stay in the workspace and belong to its owner. To come back, the owner has to invite the person again.

The OKO signature

Every page shows an OKO signature at the bottom. On Max the owner can hide it or replace it with their own caption, per workspace, under “Signature on pages”.

Frequently asked questions

How many people can I add on the Pro plan?

Pro has 5 seats and the owner uses one, so you can add four teammates to your shared workspace. Max has no limit on seats.

Can a teammate spend my lumens?

Yes, within their permissions. A page in a shared workspace is paid from the wallet of the workspace owner, so a teammate who can publish pages or start sessions spends the owner's lumens.

Can I give someone chat moderation only?

Yes. Use “Fine-tune permissions” and select only “Moderate chat”. The “Moderator” role also includes “Control live blocks” and “View analytics”.

Does a teammate need an OKO account?

Yes. The invited person signs in or creates an account before accepting the invitation.
